How to build an education-sector account list

Start by deciding whether your customer is an individual school, a school district, a university or another education provider. These are different purchasing units. A directory row identifies an organisation or location; it does not establish who controls a budget or whether there is an active procurement opportunity.

Separate institutions from buying authorities

For a classroom product, a school can be a useful research starting point. For a district-wide technology platform, several schools may share one buying authority. Keep school and district records distinct and document the relationship before counting them as separate sales opportunities. Confirm purchasing arrangements on the institution’s official website.

Make a focused working segment

Create a copy of the workbook and add columns for institution type, target geography, product fit, official-source URL, date checked and reason excluded. For example, a supplier targeting private secondary schools should not count public district offices or universities as equivalent prospects. Leave uncertain classifications marked for review instead of inferring them from the organisation name alone.

Check a varied sample before relying on the total

Review rows from different institution types and states. Compare the name, website and address with official sources, and distinguish missing contact fields from outdated ones. A populated general email address is not a verified buyer contact or permission to send marketing. Do not interpret the total record count as a count of unique buying organisations.

Turn research into an account brief

For a shortlisted institution, note its relevant programmes, stated priorities and publicly advertised procurement process. Record what you can verify and the questions that remain. This creates a more useful preparation document than a generic message sent to every directory entry.
